Mammoth’s ambitious expansion plans necessitated a financial transformation that would allow them to scale accounting processes without increasing overhead.

Mammoth Enterprises Binary Stream Multi-Entity Management (MEM) case study

Company overview.

Mammoth Holdings is one of the largest car wash companies in America. Their team of skilled operators provide unparalleled service, and their revolutionary business model redefines what’s possible in the industry. Since 2018, they’ve grown from 22 to over 100 locations, consisting of over 20 brands. They intend to double this by adding over 100 new locations and are in the process of streamlining processes to enable them to scale as growth accelerates.

The problem.

Mammoth’s ambitious expansion plans necessitated a financial transformation that would allow them to scale accounting processes without increasing overhead. A vital piece of the puzzle was migrating from Microsoft Dynamics GP (GP) to Dynamics 365 Business Central (D365 BC). With Multi-Entity Management (MEM) already an accounting staple, they knew they wanted to continue using it in the new centralized environment. However, there were still gaps in some processes and it became clear that a fully integrated AP automation solution was needed to streamline mounting workloads.

“[Our process] required a lot of bandwidth and resources that became more limited as our company began to scale.”

Brittany Blackmon, Accounting Manager at Mammoth Holdings

The challenges.

Time-consuming and error-prone manual processes.

AP processes were heavily dependent on manual work, burning through resources that could be better spent on more strategic tasks.

Overwhelming accounting workloads.

The team was already struggling to process thousands of invoices each month. With that number set to
double, they needed a solution that could lighten the load.

Difficulty accessing historical invoices.

The team required a centralized, paperless system that allowed them to look up historical invoices without wasting valuable time commuting between locations or shuffling through stacks of documents.

Concerns around data security.

Because of their aggressive growth targets, the team knew that their solution would need robust, scalable data security to grant locations more ownership over invoices safely.

A need for full integration with MEM, GP, and D365 BC.

Mammoth needed an AP automation solution that could migrate with them as they transitioned from GP to D365 BC.

The solution.

Fidesic worked closely with Binary Stream to build an AP solution that fully integrates with MEM and D365 BC. The result met all requirements and enabled them to transition to D365 BC without any AP downtime. The team benefitted from improved efficiency, increased agility, greater accuracy, and significant time savings—enriching worklife balance and boosting productivity. Mammoth has established a solid financial backbone supporting rigorous expansion without compromising quality customer care.

The benefits.

Automated AP accounting for improved efficiency and agility.

The team can now confidently handle thousands of invoices per month across all brands and locations, resulting in faster approvals.

Reduced clerical errors with centralized accounting.

Moving to a paperless system and eliminating manual data entry reduced errors significantly.

Frictionless accessibility to historical invoices sorted by entity.

With increased financial visibility and updated user permissions, locations gain more ownership over their invoices.

“I would definitely recommend this solution to any company that has a need to improve their overall AP efficiency across multiple entities.”

— Brittany Blackmon, Accounting Manager at Mammoth Holdings

Greater data protection with advanced security controls.

Updated security measures allow the company to scale safely, helping to prevent data breaches at every level.

Improved work-life balance.

The team is now able to access necessary data from any location easily.

Seamless integration with MEM, GP, and D365 BC.

Fidesic is a fully integrated solution that resulted in no AP downtime through the migration to D365 BC.

Comprehensive support during the migration and onboarding process.

Mammoth was provided with an implementation plan and readily available assistance from a support team at every step of the transition.

Key results:

  • 20+ brands managed.
  • 100% remote work enabled.
  • 100% embedded within Microsoft Dynamics 365 Business Central.
