Southeast Swim School is a franchisee of Big Blue Swim School, a fast-growing organization focused on teaching children to swim through a proven, family-friendly model. Southeast Swim School has six open schools, with three more under construction and additional leases in progress. However, the company operates each location as a separate entity. This multi-entity structure creates unique accounting demands as the organization expands across the United States.

Challenge.

“We were just doing a manual process, so there was a lot of user error.”
— Summer Yang, COO.

Before implementing Business Central with Binary Stream’s Multi-Entity Management (MEM), Southeast Swim School faced growing challenges in managing finances across multiple entities. Each swim school location operated as its own company, creating unnecessary complexity in their accounting processes.

  • Manual intercompany work: Each entity required separate logins; intercompany postings had to be entered manually in both sets of books.
  • High risk of user error: Manual processes created mistakes when re-keying data.
  • Inefficient credit card handling: The team had to download and import statements from Bank of America into their accounting system.
  • No multi-entity visibility: Their accounting system wasn’t built for managing a growing multi-company structure.
  • Time-consuming month-end close: Closing books for multiple entities was slow and fragmented.

Solution.

After implementing Dynamics 365 Business Central in early 2025, together with their partner David Boehm, CPA and Company Inc, they chose Binary Stream’s Multi-Entity Management (MEM) to address their multi-entity requirements.

The implementation delivered on several priorities:

  • Seamless Ramp integration ensuring credit card purchases could be easily assigned to the correct entity and synced into Business Central.
  • Cost-effective scalability compared to other multi-entity accounting systems such as Sage Intacct, offering enterprise-grade functionality at a fraction of the cost.
  • Future-ready foundation for continued growth as more schools open, ensuring new entities can be added quickly without disrupting accounting workflows.

Results: Faster closes, fewer errors, endless scalability.

“Now it’s literally just one button; you change the entity code and it creates the intercompany transaction automatically.”

— Summer Yang
  • One-click intercompany posting: Simply changing the entity code posts to the correct company automatically.
  • Faster month-end close: Accounting now closes books in less than one day per month.
  • Reduced errors: Eliminated the need to manually enter transactions into multiple ledgers.

“It takes less than a day for our accounting to close our books monthly now.”

— Summer Yang, COO.
